Callais Bujol LLC is seeking a Chapter Operations Coordinator to support Sigma Alpha Sorority.  The Chapter Operations Coordinator reports directly to the Chapter Operations Director (COD), with additional supervision from the Executive Director.  This role provides guidance and support to collegiate chapters and members.   

This individual will conduct sorority training and development programs, assist in the administration of chapter reporting, compliance, and operations, and coordinate various details for national programs and events.  This individual will also collaborate with the Chapter Operations Director to conduct in-person and virtual training programs, complete National Chapter Visits, and mentor chapter leaders. This is a remote, home-based position.  Ideal candidate will have easy airport access.

Chapter Operations Coordinator

Responsibilities Overview 

  • Field and respond to member/chapter phone calls and emails in a knowledgeable and professional manner.  
  • Partner with COD to develop programming and facilitate Chapter Leader Forum sessions each month and track member/chapter attendance. 
  • Coordinate document management for chapter documents and reports, as well as general sorority resources. 
  • Track and follow up with chapters regarding required submissions, training completion, and new member processing requirements. 
  • Assist in the training and support of volunteer Chapter Consultants (CC); attend monthly CC calls, and coordinate CC travel notifications to key National Leadership Team (NLT) members. 
  • Plan, prepare and execute National Chapter Visits for assigned chapters each year, including all pre- and post-visit reporting, training, and chapter follow-up. 
  • Assist COD in reviewing revised chapter bylaw submissions and maintaining current and historical files. 
  • Coordinate scheduling and set-up of chapter training and coaching sessions, and track attendance. 
  • Aid in the creation and maintenance of chapter training programs and resources, facilitate training and coaching sessions, as needed.  
  • Attend annual Leadership Seminars, promote Seminars to chapters, facilitate sessions as needed, and support other NLT in attendance. 
  • Provide year-round administrative support for the National Awards Program.
  • Assist in planning and support National Convention/Conclave- including promotion to chapters, materials preparation, on-site support, program facilitation, and other duties as assigned. 
  • Other duties as assigned to support the overall success of the National Sorority. 

 Requirements 

A bachelor’s degree is required with a preferred focus in agriculture, education, business, communication, management, or related field. This is a virtual position that will require significant travel throughout the continental United States.  

  • 1-3 years chapter relations, training, management or other relevant experience in a non-profit association environment. 
  • Ability to be self-motivated and work independently with remote supervision, as well as part of a team. 
  • Valid driver’s license and ability to travel up to 50% of the time. 
  • Excellent organizational, time management, and prioritization skills; demonstrated ability to work both independently and collaboratively. 
  • Strong verbal, written and interpersonal communication skills; ability to effectively present information to audiences of all sizes. 
  • Strong analytical, problem-solving, and decision-making skills; highly motivated and curious; ability to critically view situations and troubleshoot. 
  • Ability to establish and maintain healthy working relationships with people from a variety of different backgrounds, experiences and cultures; and a willingness to understand different perspectives. 
  • Ability to deliver effective results, prioritize and manage numerous projects and tasks simultaneously. 
  • Proficient in MS Office (including but not limited to Word, Excel, and PowerPoint) and web-based CRM tools. 
  • Strong preference is given for Sigma Alpha Alumnae.
